We are looking for a Logistics Coordinator – Coffee Trade Support (CTS) to join our Ho Chi Minh City team, supporting the execution of coffee trading operations by ensuring shipments move efficiently from origin to destination. This role will involve coordinating logistics activities, tracking shipments, managing shipping documentation and compliance requirements, and working closely with internal teams and external partners (e.g., forwarders, shipping lines, traders)
JOB PURPOSE
Ensure timely and cost-effective delivery of inbound shipments by coordinating with internal teams and external partners. Responsibilities include shipment tracking, document and compliance management, and supporting continuous improvement in logistics operations.
KEY RESPONSIBILITIES
1. Logistics Coordination & Shipment Management
• Coordinate and follow up on pre-shipment samples and update dispatch details in internal systems.
• Send shipping instructions to shippers and ensure timely bookings with shipping lines.
• Track and trace all inbound shipments weekly; provide updates to stakeholders and enter shipment
data.
• Liaise with shipping lines, forwarders, and insurance companies to resolve any logistics issues or
claims.
2. Documentation & Compliance
• Check and approve packing types, including required bag markings and tags.
• Review and approve shipping documents, ensuring accurate filing and system entry.
• Announce relevant coffee certificates (e.g., RFA, UTZ) in appropriate certification portals.
• Ensure adherence to import/export and compliance requirements related to shipments.
3. Contract & Commercial Coordination
• Conduct a pre-check of trade contracts and coordinate with traders to resolve any commercial
discrepancies.
• Support the creation of purchase/sales invoices, debit/credit notes, commission entries, and
insurance declarations in internal systems.
• Verify and register invoices from service providers (e.g., freight forwarders, shipping lines) for
approval.
4. Cross-Functional & Administrative Support
Work closely with the Trade Admin team and support logistics and trade functions as needed.
JOB REQUIREMENTS
Education: Bachelor’s degree in Logistics, Supply Chain Management, International Trade, Business
Administration, or a related field.
Experience:
• 3-5 years of experience in logistics coordination, preferably in an agricultural commodity trading or
import/export environment.
• Hands-on experience working with freight forwarders, shipping lines, and customs brokers.
• Strong knowledge of international trade terms, Incoterms, contract workflows, and shipping
documentation.
